A Message from the Provost

Dear Cardinal Students,

First, I would like to say, Thank You! Thank you for your patience and resilience as we navigate this Fall semester. Thank you for all you are doing to keep our campus safe while you maintain your dedication to your academic success, and we thank you for putting your trust in UIW.

I would also like to express my deep gratitude to our entire UIW community as we continue to do our work in the midst of this global pandemic. I send my heartfelt thanks to the Blue Ribbon group, still vibrant with about 30 faculty and deans as well as a strong SGA rep, who drafted excellent options for the Spring calendar.

After many meetings and hard work, we are happy to be able to share these first steps as we prepare for the Spring 2021 semester.

Spring Start

To begin the Spring term, the health professions programs will begin as scheduled on Jan. 4, 2021, continuing in the same modes as they did for Fall, with didactics largely online, and designated labs and clinicals in-person following all safety precautions.

The Broadway programs, and the School of Professional Studies, will also begin the Spring terms as scheduled, on Jan 11. The sections designated by the faculty and deans for in-person instruction will begin meeting in-person that week.

Your faculty will work diligently to identify sections in their programs that can safely be offered in-person, so we can provide options for you in the Spring terms.

Spring Break

Our Spring calendar will continue to celebrate all scheduled holidays as published by the Registrar, and Human Resources, including Martin Luther King, Good Friday, Easter Monday and Fiesta (pending city planning).

The President’s Cabinet recognizes the importance of taking a break – and being able to look forward to that break – so we will keep Spring Break as scheduled.

Spring Commencements

As we continue to monitor health conditions in our region, we hold out hope that we can celebrate May Commencement in-person, especially with the excitement of graduating the inaugural class from the UIW School of Osteopathic Medicine.

Blessing

As you know all instruction will move online after Thanksgiving, and final exams will be also be given online, during that scheduled week, unless specified differently by your school.

Please know that the entire community as well as the Sisters of Charity of the Incarnate Word are praying for you as you continue on through this Fall semester and as you prepare to navigate finals in a much different way.

We at UIW are working hard and are confident that the academic and non-academic support services and curriculum will be the excellent academic, collegial and productive experience that drew you to UIW, whether delivered live, in a hybrid environment, or entirely remotely.

COVID-19 Map Updates

Masks

Masks are required on campus for all students and employees. Students and employees are asked to bring their own mask(s) to campus. In the event that a mask is damaged, lost or forgotten, free masks will be available at various on-campus locations. Locations can be found on the above linked UIW interactive map.

Safety Signage

Safety markers will be located throughout campus in areas where lines typically form such as in dining facilities and student support offices. Additionally, signage will be placed in areas where it is difficult to maintain social distance to remind us to do our part in attempting to stay 6 feet away from others.

Safety Shields

Plexiglass safety shields have been installed in many locations where individuals come face-to-face. These locations include dining facilities, student services offices, the Help Desk, Cardinal Shoppe and more.

Sanitization

Since the beginning of the COVID-19 pandemic, UIW has developed detailed sanitization plans for all areas of the institution. In addition to extensive training on hygiene standards and protocol UIW has done audits of all of our hygiene standards and their application. Recognizing the need for additional cleaning activities the Office of Facilities Management and Services has worked with our contracted housekeeping services to ensure there is an increased frequency of cleaning Health Services, exam rooms, restrooms, locker rooms, shower rooms, athletic areas, classrooms, lecture halls, library, conference and meeting rooms. UIW has instructed use of EPA approved disinfectants and cleaners approved for COVID-19. UIW is deploying sanitation stations in high traffic areas on campus to ensure that hand sanitation is a priority.

Self-Monitoring

It is important for every member of the UIW community to self-monitor for COVID-19 symptoms. Take note of any flu-like symptoms and if you feel sick, do not come to campus. COVID-19 symptoms include, but are not limited to:

• Fever or chills
• Cough and/or sore throat
• Shortness of breath or difficulty breathing
• Fatigue
• Muscle or body aches
• Headache
• New loss of taste or smell
• Congestion or runny nose
• Nausea, vomiting and/or diarrhea
• Mental confusion
• Loss of appetite

If you are experiencing any of these symptoms, think you may have COVID-19 and/or have been in contact with someone who is diagnosed with COVID-19, you are required to contact UIW Health Services at (210) 829-6017 during regular hours (Monday – Friday, 8 a.m. - 5 p.m.) and/or fill out the UIW COVID-19 Illness Reporting Form.

All students, employees, vendors and visitors must complete the Cardinal Daily Health Check before coming to campus.

Minimize Travel

Minimize travel wherever possible. This includes in San Antonio and out of town. We can all do our part to minimize our exposure risk.

Campus Operations

Campus Buildings and Common Areas

Common campus areas such as the Mabee Library, Student Engagement Center, dining areas, and the Cardinal Shoppe (bookstore) will generally be open once the semester begins. Academic spaces that host in-person classes will also be open. Some spaces that don't have any planned or expected activity will be closed.

Mabee Library

UIW library resources will be available to all students online 24/7. As the COVID-19 virus improves in the San Antonio area, more in-person services and resources will be available. Continue to come back to the Cardinal Flight Plan for more information.

It is the University's intention to have our campus spaces open and available for student access and use. Specific decisions will be driven by local, regional and state-wide health requirements and guidance as well as the progression of COVID-19 in the San Antonio area.

Student Support Services

UIW Academic Support offices are a very important part of the overall student experience. In order to ensure that our offices offer the same quality support while maintaining all CDC guidelines, the following changes will be in place for the spring semester:

• We will continue to support and encourage remote access to all support offices.
• All support offices will move from phone-in remote access to open chat or Zoom room availability for students.
• All students are assigned to a professional advisor or a faculty advisor in their discipline to not only guide them through their degree plan but also to connect them with appropriate resources for success.
• Our First Year Engagement Office works with all first time in college (freshmen) to mentor first year students in the transition to college.
• The University Advising Center will have remote access for students, as well as offer in-person appointments for students.
• The Learning Support Center will offer 24-hour online tutoring options as well as Zoom peer tutoring and in-person appointments (as allowed by health standards).
• Career Services will offer all career events remotely, including job fairs, professional development workshops and employer networking opportunities.
• Campus engagement activities will have remote (online) access opportunities for students.

Reservations for Study Rooms, Meetings and Event Spaces

Availability of all campus rooms and event spaces are subject to change depending on current COVID-19 guidance. UIW procedures and policies will be adapted throughout the semester to align with safety guidelines that are in place for each phase of our COVID-19 response. Campus space requests may be submitted through the UIW scheduling platform, 25Live.

Health Profession students should address their reservation inquiries to their respective school contact.

Campus Dining

UIW and Sodexo, our national dining partner, are working together to make sure that the dining experience is both delicious and safe as we adhere to all CDC recommendations and guidelines. Your shared responsibility will be to follow all rules, observe social distancing and wear a mask when not eating. You can trust that we are taking mitigation efforts for the transmission of COVID-19 in each of our dining venues. All Sodexo employees will have daily health screenings to include a detailed questionnaire and a temperature check before entering campus each day. Dining options available to students will be:

Liturgy and Worship

Many liturgies at the University of the Incarnate Word serve not only the University community, but also the local community. We are a diverse population made up of students, faculty, staff and Sisters of Charity of the Incarnate Word, and are uniquely situated next door to the Village at Incarnate Word – a retirement center and home to some of our Incarnate Word family. Decisions regarding university operations, including our campus worship, are guided by local, regional and state-wide progression of COVID-19 and, in particular, the dignity, health, and well-being of our generationally diverse community.

As UIW has moved into the 'Minimal to Moderate' or 'yellow' warning indicator, Monday through Thursday Mass at noon has resumed. Additional services may be scheduled as conditions allow. Virtual prayer services remain an option for those who wish to continue worship and prayer from home. Public worship and protocols for the Chapel of the Incarnate Word will be determined by the congregational leadership of the Sisters of Charity of the Incarnate Word.

Classes and Learning

Online, In-Person and Hybrid Classes

While we strongly value the efficacy of face-to-face learning, as we monitor the pandemic, we are cognizant that a mix of modalities will best serve our students and faculty as we move through the phases of COVID-19.

Lecture courses will be held online for the Spring 2021 term. We will continue to monitor regional health conditions and as the situation improves, will offer optional, in-person sessions to supplement online learning.

Courses that require hands-on learning will be held in person with adherence to all CDC suggestions for safety precautions. Classes that are likely to be held in person include science and performance labs, studios, music performance, theatre, nursing skills labs and more. Specific questions about in-person coursework may be directed to your dean or department chair.

Courses and Class Schedule

The published class schedule has been updated to indicate in-person and remote-learning sections, noting whether the online sections will be synchronous or asynchronous.

When browsing the class schedule, click on the class link. Each course's 'Class Details' tab will include a field for 'Instructional Method.' Designated instructional methods are defined as follows:

• “Face-to-Face Same Location” – In-person course delivery; Designated class meeting time [See schedule for meeting day(s)/time(s)]
• “Fully Dist. Ed. Crse., Async” – All online course delivery; No designated class meeting time [No meeting day(s)/time(s) on schedule]
• “Fully Dist. Ed. Crse., Sync” – All online course delivery; Designated class meeting time [See schedule for meeting day(s)/time(s)]
• “Hybrid/Blended Course; Async” – Partial in-person + partial online course delivery; No online designated class meeting time [See schedule for in-person meeting day(s)/time(s)]
• “Hybrid/Blended Crse.; Synch” – Partial in-person + partial online course delivery; Online designated class meeting time [See schedule for in-person/online meeting day(s)/time(s)]

Synchronous vs. Asynchronous Online Classes

Some online classes will have a specified meeting time (synchronous) via Zoom and others will not (asynchronous). This will be decided by faculty based on course content and class expectations. The Class Schedule will mark classes as:

• Sync Instructional Method - This refers to synchronous online delivery.
• Async Instructional Method - This refers to asynchronous online delivery.
• Face-to-Face Instructional Method - This means the class will be in-person.

Grading Policy

The spring term will continue normal letter grading. A designated faculty group will continue to consider all academic policies that support student success throughout the semester.

Clinical Teaching and Field Work

The Dreeben School of Education currently anticipates Spring 2021 clinical teachers will be placed on partnership campuses. School districts are making plans in response to directives from the governor and the Texas Education Agency. Specific plans and requirements have not yet been released, but are expected soon. At this time, UIW clinical teachers will adhere to the requirements and expectations of teachers at the campus to which they are assigned.

Health professions students will be expected to participate in their clinical experiences as scheduled and permitted by assigned clinical sites. Students in at-risk populations or with other concerns about returning to campus should contact their school contact for clinical education.

Computer and Internet Specifications

The following guidelines are minimum computer specifications required for general purpose computing and participating in online instruction. Students should also review their academic program as specific majors may require greater specifications to adequately run required software. Students receive Microsoft Office at no cost from UIW and do not need to purchase their own copy.

Operating system: WINDOWS 10 or Mac OS (Mojave or later)

Processor: Intel Core i3 or AMD Ryzen 3

RAM: 8 Gigabytes of RAM

Storage: 128 Gigabtye SOLID STATE hard drive

Camera: Built-in or add on webcamera (480p or higher resolution) with microphone

UIW requires a minimum bandwidth of 1.5 Mbps for both upload and download speed. Most internet providers, even satellite and smartphones, offer basic packages that exceed this rate.

Attendance Policy

University attendance policy information can be found here. Students who have been exposed to COVID-19, are experiencing COVID-19 symptoms, or who have received a positive test result should notify their instructor, self report using the UIW COVID-19 Illness Reporting Form, and not attend in-person classes.

Tuition and Fees

Tuition supports many functions of the University, including but not limited to equipment for in-person and online courses, faculty training, resources for instruction and more. Because instruction will continue and full course credit will be provided as normal, tuition has not been decreased for Spring 2021.

Student fees are used to fund a combination of projects and programs that help support student success. While the focus of how these fees are used vary over time, we are currently focused on improving the quality and effectiveness of the online delivery of our academic programs. In addition, we are continuing to provide faculty and staff with the infrastructure and resources they need to provide support and programming to students in areas such as Title IX, Disability Student Services, Career Services, tutoring, Counseling and Behavioral Services, online library support, technical support for students and more. As such, student fees are used to invest in current and future infrastructure projects that support student success and engagement, and to provide the student services that will be used by our students, whether online or in-person.

International Students

Self-Isolation Requirement: Students traveling from outside of the United States that are residing in dorms on the Broadway campus and/or attending classes in person at any of UIW’s locations are required to complete a 14-day self-isolation period prior to accessing campus. University officials will continue to monitor CDC recommendations for travelers entering Texas from other states or high risk areas.

Study Abroad: All Study Abroad opportunities have been cancelled for the Spring 2021 term. Please contact Study Abroad, studyabroad@uiwtx.edu, to inquire about virtual opportunities.

International Student Enrollment: Students currently within the United States that hold a valid F-1 visa are able to continue their studies at UIW for the Spring 2021 semester. International Affairs is closely monitoring regulations and communicating with the Blue Ribbon Task Force to ensure new and returning students abroad are able to enroll and meet visa requirements. The Spring 2021 semester will offer in-person, hybrid and online courses. For students unable to enter the U.S. or opt to stay home may participate in online coursework outside the U.S. Students may contact the International Student & Scholar Services Office, intl@uiwtx.edu, to discuss their individual situation related to visa type, travel restrictions, visa delays, course availability, etc.

Residents

Residence Halls Remain Open

UIW Residence halls will remain open for the entire Spring 2021 semester. UIW is monitoring the stages of COVID-19 and will make changes, as needed, to this and other policies in Residence Life.

Spring 2021 Move-In Dates

Students who are moving into a Residence Hall will be receiving further communication from the Office of Residence Life with detailed instructions of both the process and the date they have been assigned.

“Family Unit” Housing Precautions

UIW residential living offers a variety of rooms to include singles, doubles, and apartment style living. Students sharing a bathroom or common living area will be considered a “family unit” and are highly encouraged to socialize within their unit and avoid socializing with others.

First-Year and Upperclassmen Housing

Housing for first-year students will be available at the Agnese Hall, Clement Hall, Sky View Hall, and Joeris Hall (floors 4, 5).

Housing for upperclassmen students will be available at Avoca (B, E), Hillside, Joeris (floors 2, 3), McComb’s, St. Joseph’s (floors 3, 4), Township and Watson Lofts.

Safety Policies

Face mask policy: In residential buildings, face masks are required prior to entering any common area (lobbies, hallways, elevators, kitchens, restrooms, etc). When in your “family unit”, you will not need to wear a mask.

Social distancing policy: Residence Life and Housing Operations is determining maximum occupancy levels for our community spaces to support social distancing measures. All rooms will have occupancy limits posted. View the Residents page to learn more about occupancy limits.

Modified guest policy: The only occupants of a resident room should be the students assigned to that room. Students may visit each other within the building in designated community spaces, as long as safe social distancing practices are being followed. Guests who do not reside in the residence hall are not allowed.

COVID-19 Diagnosis and Self-Isolation on Campus

Report symptoms: If students living on campus are experiencing COVID-19 symptoms, please call Health Services at (210) 829-6017 (during business hours) and Campus Police at (210) 829-6030 (after hours and/or weekends) and/or fill out the UIW COVID-19 Illness Reporting Form.

Positive diagnosis: If you receive a positive diagnosis of COVID-19 while residing on campus, we ask you return to your off-campus home as soon as possible, for the safety of our Cardinal Community. If this is not possible, you may be asked to relocate to a section of housing designated for necessary isolation. Students are requested to comply with isolation directives and not exit his/her assignment unless medically necessary. Contactless meals will be coordinated.

Close contact with diagnosed individual: In the event someone you have had close contact with (friend, roommate, suitemate, etc.) has been diagnosed with COVID-19, please call Health Services at (210) 829-6017 during business hours and/or Campus Police at (210) 829-6030 outside of business hours. Please do not leave your room until you receive further instructions from the medical team or emergency responders.

Self-isolation: Asymptomatic students who are suspected to have potential exposure to an individual (roommate) who has tested positive for COVID-19 will be required to self-isolate. If an asymptomatic student is a resident and does not wish to self-isolate off campus, the student will self-isolate within their assigned dorm room or apartment on campus.

Residential Experiences: Staff interactions, Gatherings, Personal Wellness and Programs

Staff interactions: Our Resident Assistants (RAs) will have open Zoom times (posted at their doors). Additionally, the RA staff will be communicating with you through e-mail, Microsoft Teams, and phone.

Community gatherings: Our Residence Life department prides ourselves on the culture of community within the halls. Our Resident Assistant staff will still be offering small events and you’ll have the ability to have supplies delivered to your door and join in via Zoom! There will also be opportunities to participate outside.

Personal wellness and opportunities to grow: We encourage you to bring games and items that you and your roommates/suitemates can make fun memories with. UIW also has an extensive set of trails that are almost entirely shaded. There will be many opportunities for new ways to pause and reflect on your goals, the UIW Mission, and stay engaged on campus.

Residence hall programs: In all our events, we are taking extra steps to promote safe social distancing and support a healthy Cardinal Community. Food, a very popular program staple, will take the form of single serving or pre-packaged offerings, served by a staff member.

Faculty Training and Remote Learning Instruction

Instructional Technology has been hard at work providing faculty a variety of workshops and other tools for online course delivery. They have provided over 2000 one-on-on consultations to faculty as well as weekly Saturday webinars. In addition, the University has developed a variety of web resources for faculty to include:

Sections with remote learning will keep their section sizes. Small sections provide for more individualized attention, increased participation, and better communication between the instructor and students.

Working

Student Employees and Work Study Employees

Departments and offices that have hired student employees to begin work in the near future should not have the student employees work on campus unless they are determined to be essential personnel (i.e., residence life). Student workers may work remotely; however, supervisors are responsible for ensuring the remote work agreement and the student confidentiality statement in the student employment handbook are completed.

Keeping Your Area Safe

Employees may deny entry to their workspace to visitors without face masks. As members of the UIW community, we have a shared responsibility to ensure the safety of our coworkers and students. One way we protect one another is by following the safety precautions outlined in the COVID-19 Return to Campus Requirements and Expectations Policy. The policy requires face masks to be worn in common areas, instructional spaces, classrooms and labs. Disposable face masks can be requested through Purchasing.

Telecommuting and Remote Work

Employees will work with their supervisors in order to determine when they should work from campus. Additional information about returning to work, vulnerable individuals, and accommodations can be found in the UIW Return to Work Guidelines and Employee FAQ's on Work and Leave.

Safe Teaching

Like all UIW employees, faculty will wear safe face masks when on campus. Faculty must have a mask on when students approach them, whether in class or in their office.
